How to Extract Emails from QuickBooks Contacts

Why Extract from QuickBooks?
QuickBooks is an accounting and business management platform from Intuit. QuickBooks Online and QuickBooks Desktop provide invoicing, expense tracking, payment processing, payroll, inventory, tax preparation, banking, reporting and customer management. QuickBooks stores contact data for every customer, vendor and employee in the system.
Extracting email addresses from QuickBooks data is useful for importing into a marketing platform, consolidating business contacts, reaching customers with newsletters or announcements, reconciling customer data across business tools or creating a backup.
How to Export from QuickBooks
QuickBooks Online
- Log in to QuickBooks Online.
- Go to Sales then Customers (or Expenses then Vendors for vendor data).
- Click the Export icon (or go to Reports and run a Customer Contact List report).
- Export as CSV or Excel.
- The export includes email, name, company, phone, address, balance and other fields.
QuickBooks Desktop
- Open QuickBooks Desktop.
- Go to Customers then Customer Center.
- Click Excel then Export Customer List.
- Save the file as CSV or Excel.
- The export includes email, name, company, phone, balance and other fields.
Customer Contact List report
- Go to Reports.
- Search for "Customer Contact List" (or a similar report).
- Run the report and export as CSV or Excel.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or Excel file exported from QuickBooks. Supported formats include CSV, XLSX, XLS and ODS. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a marketing platform
QuickBooks handles accounting, not marketing. Import the extracted list into Mailchimp, ActiveCampaign, Kit or another email platform for customer newsletters, promotions and retention campaigns.
Consolidate with CRM data
Compare QuickBooks customers with your CRM contacts. QuickBooks often has customers who were never entered into the CRM (they came through direct purchases, referrals or invoicing).
Customer outreach
Use the extracted list for announcements (price changes, new services, policy updates) that need to reach all customers.
Verify addresses

Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, companies, phone numbers, addresses, balances and other fields from the QuickBooks export are not carried over.
Customers vs vendors vs employees
QuickBooks stores different contact types: customers (people you sell to), vendors (people you buy from) and employees. Export the appropriate type for your purpose.
Multiple email fields
QuickBooks contacts can have multiple email addresses (primary email, CC email). The export may include all of them. Email Extractor captures all email addresses found.
QuickBooks Online vs Desktop
Export procedures differ between QuickBooks Online and QuickBooks Desktop. The data structure is similar, but the interface and export options vary.
Missing email addresses
Not all QuickBooks contacts have email addresses. Contacts added for invoicing by mail or phone may lack an email. These contacts will not appear in extraction results.
Intuit ecosystem
QuickBooks is part of the Intuit ecosystem (alongside TurboTax, Mint, Mailchimp). Intuit owns Mailchimp, and QuickBooks integrates with it for email marketing.
Privacy
Customer data in QuickBooks was collected for business and accounting purposes. Using it for marketing may require additional consent depending on your jurisdiction.
