How to Extract Emails from PayPal Transactions

Why Extract from PayPal?
PayPal is a payment platform used by millions of businesses and individuals. It provides payment processing, invoicing, checkout buttons, subscriptions, peer-to-peer payments, business loans and reporting. PayPal transaction records include the email addresses of buyers, sellers and invoice recipients.
Extracting email addresses from PayPal transaction data is useful for building a customer list, importing into a marketing platform, consolidating payment data with CRM records, identifying repeat customers or creating a backup of customer contacts.
How to Export from PayPal
Downloading transaction history
- Log in to PayPal.
- Go to Activity then All Transactions (or Reports then Activity Download for business accounts).
- Select a date range.
- Choose CSV as the download format.
- Click Download.
- The CSV includes transaction type, date, name, email, amount, currency, status and other fields.
Downloading from reports
- Go to Reports (business accounts).
- Select the report type (Transaction, Balance Affecting, etc.).
- Set the date range and download as CSV.
Invoice data
- Go to Invoicing.
- Export invoice data as CSV. Invoices include the recipient's email address.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file(s) exported from PayPal. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a marketing platform
PayPal is a payment processor, not a marketing tool. Import the extracted list into Mailchimp, ActiveCampaign or another email platform for customer newsletters, promotions and retention campaigns. Ensure you have consent for marketing communications.
Consolidate with ecommerce data
If you sell through multiple channels (Shopify, WooCommerce, direct PayPal payments), extract customer emails from all channels and upload together. Deduplication shows your total unique email-address count.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Identify customer base
For businesses that rely heavily on PayPal (freelancers, small merchants, digital product sellers), the PayPal transaction history may be the most complete record of customers.
Verify addresses
PayPal email addresses are generally valid since they are used for payment accounts. However, some may be secondary addresses. Verification before marketing is recommended. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, transaction amounts, dates, statuses and other fields from the PayPal export are not carried over.
Multiple email types
PayPal transactions can contain the buyer's email, the seller's email and sometimes the email of the PayPal account holder (which may differ from the buyer). Email Extractor captures all email addresses found. Review results to remove your own email address and any PayPal system addresses.
Transaction types
PayPal exports include various transaction types: payments, refunds, withdrawals, fees, holds and transfers. Not all transactions are customer purchases. Filter the export before uploading if you only want customer emails.
Your own email
Your PayPal account email appears in every transaction. It will be included in extraction results. Remove it from the final list.
Refunds and chargebacks
Refunded and charged-back transactions still contain the customer's email. These emails will appear in extraction results.
PayPal business vs personal
Business accounts have more detailed reporting and export options than personal accounts.
Privacy
Transaction email addresses were collected for payment processing. Marketing use requires compliance with CAN-SPAM, GDPR and other regulations.
