How to Extract Emails from Square Customers

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from Square?
Square is a payment and business platform. It provides a point-of-sale (POS) system, payment processing, invoicing, online store, appointments, marketing (Square Marketing), payroll, banking and analytics. Square stores customer data including email addresses from in-person transactions, online orders, invoices, appointments and marketing campaigns.
Extracting email addresses from Square data is useful for importing into a dedicated email marketing platform, consolidating in-person and online customers, building a customer list for campaigns outside of Square Marketing or creating a backup.
How to Export from Square
Exporting the customer directory
- Log in to Square Dashboard.
- Go to Customers then Directory.
- Filter by group, creation date, visit frequency or other criteria if needed.
- Click Export Customers to download as CSV.
- The CSV includes email, name, phone, address, visits, total spent and other fields.
Exporting from transactions
- Go to Transactions.
- Filter by date range, location or payment method.
- Export as CSV. Transaction data may include customer email addresses.
Exporting from invoices
- Go to Invoices.
- Export invoice data. Invoice records include recipient email addresses.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file exported from Square. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a marketing platform
Square Marketing provides basic email and text marketing. For more advanced email marketing (complex automations, A/B testing, detailed segmentation), import the extracted list into Mailchimp, Kit, ActiveCampaign or another platform.
Consolidate in-person and online customers
Square serves both in-person (POS) and online customers. Export both and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original transaction records to confirm purchases and match customers; unique addresses are not a count of unique people.
Combine with other payment data
If you also use Stripe, PayPal or another payment processor, upload exports from all processors together to see your total customer base.
Verify addresses
Customer emails from Square are generally valid. However, some in-person customers may have provided email addresses verbally, which could contain errors. Verification before campaigns is recommended. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, addresses, visit counts, spend totals and other fields from the Square export are not carried over.
Not all customers have emails
In-person POS transactions do not always capture customer email addresses. A customer paying by card at a physical location may not provide their email unless prompted (through digital receipts or loyalty programs).
Digital receipts
Square can email digital receipts to customers. When a customer provides their email for a receipt, it is added to the customer directory.
Square Loyalty
Square Loyalty program members provide their email or phone number. Loyalty members appear in the customer directory.
Appointments
Square Appointments collects client email addresses for booking confirmations and reminders. These contacts appear in the customer directory.
Multiple locations
If you operate multiple Square locations, the customer directory may be shared or separate depending on your configuration. Export from each location or from the unified directory.
Square Marketing
Square Marketing sends email and text campaigns to your customer directory. Extracted emails imported into an external platform create a separate marketing channel.
