How to Extract Emails from Help Scout Conversations

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Help Scout Conversations?

Help Scout is a customer support platform built around shared inboxes. Every conversation (email thread) has a customer with an email address. Over time, Help Scout accumulates a detailed record of everyone who has contacted your support team.

While the general Help Scout contact export is covered in Extract Emails from Help Scout Contacts, this article focuses on conversation-level exports. Conversations let you filter by mailbox, tag, status, date range and other criteria, giving you more targeted lists than a full contact export.

How to Export from Help Scout

Exporting conversations

  1. Log in to Help Scout as an admin or owner.
  2. Go to Manage then Company then Company Export (or the equivalent export option in your plan).
  3. Select the mailbox and date range.
  4. Request the export. Help Scout sends a download link by email.
  5. The export includes conversation data with customer email addresses, subjects, statuses and tags.

Using the Help Scout API

  1. Use the /v2/conversations endpoint to list conversations.
  2. Filter by mailbox, status, tag or date range using query parameters.
  3. Each conversation includes a customer object with an email address.
  4. Save results as CSV or JSON.

Using reports

  1. Go to Reports in Help Scout.
  2. Generate reports for specific date ranges and mailboxes.
  3. Some reports include exportable data with customer information.

Using third-party integrations

Help Scout integrates with tools like Zapier, Make and HubSpot. Configure a workflow to export conversation data to a spreadsheet or CRM, then export from there.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the exported file (CSV or JSON). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

JSON exports

Help Scout API exports are typically JSON. Email Extractor handles JSON files and extracts email addresses from string values throughout the file.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, conversation subjects, tags, statuses and other Help Scout fields are not carried over.

One customer, many conversations

A customer may have multiple conversations. Email Extractor deduplicates automatically.

CC and BCC recipients

Conversations may include CC recipients. Their email addresses may appear in the export alongside the primary customer's.

Team member emails

Conversation exports may include team member (agent) email addresses. These appear alongside customer addresses in the extracted results.
