How to Extract Emails from HubSpot Contact Lists

Why Extract from HubSpot Contact Lists?
HubSpot is a CRM and marketing platform with powerful list management. Contact lists in HubSpot come in two types: active lists that update automatically based on filter criteria, and static lists that contain a fixed set of contacts. Lists are used for email campaigns, enrollment triggers for workflows, lead segmentation and reporting.
Extracting email addresses from specific HubSpot lists is useful for importing targeted segments into other tools, sharing data with teams, running campaigns through a different platform or cross-referencing lists.

How to Export from HubSpot
Exporting a list
- Log in to HubSpot.
- Go to Contacts then Lists.
- Find and click on the list you want to export.
- Click Export (or Actions then Export).
- Select the properties to include in the export.
- Choose CSV or XLSX format.
- HubSpot sends a download link by email.
Creating a list for export
- Go to Contacts then Lists.
- Click Create list.
- Choose Active list (dynamic) or Static list (fixed).
- Set filter criteria for active lists:

Common lists to export
- Marketing qualified leads: Contacts with lifecycle stage "MQL."
- Recent form submitters: Contacts who submitted a form in the last 30 days.
- Engaged contacts: Contacts who opened or clicked a marketing email recently.
- Event registrants: Contacts tagged or listed for a specific event.
- Churned customers: Contacts with lifecycle stage "Customer" and no activity in 6+ months.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or XLSX file from HubSpot. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into email marketing platforms
Import list-specific emails into Mailchimp, ActiveCampaign, Klaviyo or another platform for campaigns that run outside HubSpot.
Cross-team sharing
Share targeted contact lists with sales, support or partner teams who may not have HubSpot access.
Compare lists
Export multiple lists and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
List hygiene
Extract emails from large lists for verification before launching campaigns. Remove invalid addresses from the list afterward.
Verify addresses

Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, companies, lifecycle stages, deal information, custom properties and other HubSpot fields are not carried over.
Active vs. static lists
Active lists update automatically as contacts match or stop matching criteria. Static lists contain a fixed set of contacts that do not change unless manually updated. Both export the same way.
Multiple email properties
HubSpot contacts can have multiple email-related properties (primary email, additional emails in custom properties). Include all relevant properties in the export. Email Extractor scans all text content.
List size limits
HubSpot has limits on list membership depending on your plan. Very large lists may need to be exported in batches.
