How to Extract Emails from HubSpot Workflow Enrollments

Why Extract from HubSpot Workflows?

HubSpot workflows are automation sequences that enroll contacts based on triggers (form submissions, property changes, list membership, deal stage changes and more). Each enrolled contact has an email address. Extracting emails from workflow enrollments is useful for auditing automation performance, building lists of contacts who went through a specific process, creating segments for follow-up and sharing workflow data with teams outside HubSpot.

How to Export from HubSpot Workflows

Exporting enrolled contacts from a workflow

  1. Log in to HubSpot.
  2. Go to Automation then Workflows.
  3. Select the workflow.
  4. Click the Performance tab.
  5. View enrolled contacts.
  6. Click Export or Download to save as CSV.
  7. The export includes email, enrollment date and completion status.

Using active lists tied to workflows

  1. Many workflows use active lists as enrollment triggers.
  2. Go to Contacts then Lists.
  3. Find the list tied to the workflow.
  4. Export the list as CSV.

Using contact filters

  1. Go to Contacts then Contacts.
  2. Filter by workflow enrollment (e.
  3. Export the filtered contacts as CSV.

Exporting from reports

  1. Go to Reports.
  2. Create a report that filters contacts by workflow enrollment.
  3. Export the report as CSV.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from HubSpot. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, enrollment dates, completion statuses, workflow steps reached and other HubSpot properties are not carried over.

Enrollment history

HubSpot tracks workflow enrollment history. A contact may have been enrolled multiple times in the same workflow.

Workflow goals
