How to Extract Emails from HubSpot Form Submissions

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from HubSpot Form Submissions?

HubSpot forms are embedded on websites and landing pages to capture leads. When a visitor fills in a HubSpot form, the submission creates or updates a contact in HubSpot CRM automatically. HubSpot forms collect email addresses, names, company information, phone numbers and any custom fields you add.

While HubSpot contacts can be exported directly from the CRM (see Extract emails from HubSpot export), there are reasons to work with form submission data specifically. Form submissions show exactly which contacts came through which form, when they submitted, and what information they provided at that moment. This is different from the contact record, which may have been enriched or modified after submission.

Extracting email addresses from HubSpot form submissions is useful for auditing form performance, comparing submissions against your contact database, identifying form-specific leads, consolidating with other form tools or verifying addresses from a specific campaign.

How to Export Form Submissions from HubSpot

From the form tool

  1. Log in to HubSpot.
  2. Go to Marketing then Forms.
  3. Click on the form whose submissions you want to export.
  4. Go to the Submissions tab.
  5. Click Export submissions to download as a CSV or XLSX file.
  6. The file includes email, name, any other form fields, submission date, page URL and other metadata.

From a specific landing page

  1. Go to Marketing then Landing Pages.
  2. Open the landing page.
  3. View the form submissions associated with that page.
  4. Export as CSV.

From contacts with form filter

  1. Go to Contacts.
  2. Create a filter for contacts who submitted a specific form.
  3. Export the filtered contact list.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file exported from HubSpot. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Compare form submissions across forms

If you have multiple forms on your site (contact form, newsletter signup, demo request, content download), export submissions from all forms and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.

Compare against your CRM

Export form submissions and CRM contacts separately, extract from both, and compare. Discrepancies may indicate submission processing issues.

Combine with other form tools

If you use HubSpot forms alongside third-party forms (Typeform, WPForms, Gravity Forms), upload all submissions together. Deduplication shows your total unique lead capture across all form tools.

Verify addresses

Form submissions can include typos, disposable addresses and spam. Running the extracted list through a verification service improves deliverability for campaigns sent to these leads. See Best email verification services.

Extracting and counting unique email addresses from each form shows which forms generate the most unique leads versus duplicate submissions.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, company information, phone numbers, form field values, submission timestamps, page URLs and other metadata from the HubSpot export are not carried over.

Forms vs contacts

HubSpot form submissions automatically create or update contacts in the CRM. The contact record may contain more information than the form submission (from enrichment, manual updates or data from other sources). Form submission exports show the data as submitted.

Free vs paid forms

HubSpot offers forms on all plans, including the free CRM. Free plan forms include HubSpot branding. Paid plans offer additional features (dependent fields, progressive profiling, smart content).

Pop-up forms

HubSpot also offers pop-up forms (slide-in, pop-up box, dropdown banner, embedded). These are separate from standard forms but submissions appear in the same form tool.

Non-HubSpot forms

HubSpot can collect submissions from non-HubSpot forms using the collected forms feature (requires the tracking code on your site). These submissions also create contacts.

Submission notifications

HubSpot can send email notifications when a form is submitted. These notifications are for your team and do not affect form submission data.

GDPR features

HubSpot forms support GDPR compliance features including consent checkboxes and lawful basis tracking. This consent data is stored with the submission.

Multiple email fields

If a HubSpot form includes more than one email field (rare but possible with custom forms), Email Extractor captures all email addresses found in the export file.
