How to Extract Emails from HubSpot Tickets

HubSpot Service Hub manages customer support tickets across email, chat, forms and phone. Tickets are linked to contacts and companies, tracking issue type, priority, status, pipeline stage and resolution.

Extracting email addresses from HubSpot ticket data is useful for building customer support contact lists, running satisfaction surveys, analyzing support patterns, creating marketing segments based on support interactions or sharing data with teams.

How to Export from HubSpot

Exporting tickets

  1. Log in to HubSpot.
  2. Go to Service then Tickets.
  3. Use filters to narrow by status (open, in progress, closed), priority, pipeline, ticket owner, create date or custom properties.
  4. Select the filtered tickets.
  5. Click Export and choose CSV or XLSX format.
  6. Include associated contact properties (email, name) in the export.

Using views

  1. Go to Service then Tickets.
  2. Create a custom view with specific filter criteria.
  3. Save the view.
  4. Export the view results.

Exporting contacts with ticket associations

  1. Go to Contacts.
  2. Create a list or filter for contacts associated with tickets.
  3. Export the filtered contacts as CSV.

Using HubSpot reports

  1. Go to Reports.
  2. Create a report combining ticket data with contact properties.
  3. Export the report as CSV.

Using the HubSpot API

  1. Use the /crm/v3/objects/tickets endpoint with filters.
  2. Include associations to retrieve linked contact records.
  3. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, ticket descriptions, priorities, statuses and other HubSpot fields are not carried over.

Tickets vs. contacts

Ticket exports focus on support interactions. Contact exports focus on the person. A ticket export with associated contacts gives both context and email data.

Team member emails

Ticket exports may include team member (ticket owner) email addresses alongside customer emails.
