How to Extract Emails from Intercom Segments

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Intercom Segments?

Intercom uses segments to group users and leads based on attributes, behavior and engagement. Segments can filter by last seen date, plan type, custom attributes, conversation history, tag, company and many other criteria.

How to Export from Intercom

Exporting a segment

  1. Log in to Intercom.
  2. Go to Contacts.
  3. Select a segment from the sidebar or create a new one.
  4. Click Export to download as CSV.
  5. The export includes user email addresses and other attributes.

Creating custom segments

  1. Go to Contacts.
  2. Click New segment.
  3. Add filters based on attributes, behavior or engagement:
    • Last seen date.
    • Plan or subscription type.
    • Custom attributes.
    • Tag.
    • Company.
    • Conversation count.
    • Web session count.
  4. Save the segment.
  5. Export as CSV.

Exporting by tag

  1. Go to Contacts.
  2. Filter by a specific tag.
  3. Export the filtered contacts.

Using the Intercom API

  1. Use the /contacts endpoint with search filters.
  2. Filter by segment, tag, custom attribute or role (user/lead).
  3. Each contact includes their email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Intercom. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Export multiple segments and upload together. Deduplication combines the addresses into one unique list. Compare the original exports separately to measure overlap between segments.

Import into CRM

Import segment contact emails into HubSpot, Salesforce or another CRM for relationship tracking beyond Intercom.

Churn prevention

Extract emails from segments like "Users inactive 14+ days" or "Users with support conversations." Use the list for re-engagement campaigns.

Verify addresses

Intercom user emails are usually valid since product communications are sent to those addresses. Lead emails may need verification. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, plans, tags, custom attributes and other Intercom fields are not carried over.

Users vs. leads

Intercom distinguishes between users (signed-up product users) and leads (anonymous visitors who provided email). Both can be in segments and both are included in exports.
