How to Extract Emails from a monday CRM Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from monday CRM?

monday CRM is a sales and customer relationship management product built on the monday.com work operating system. It provides deal tracking, contact management, pipeline visualization, lead scoring, email integration and activity tracking. monday CRM organises data into boards with customizable columns, and contacts are stored as items with associated email addresses, phone numbers, companies, deal values and custom fields.

Extracting email addresses from monday CRM data is useful in several scenarios.

Migrating to another CRM. When switching from monday CRM to Salesforce, HubSpot, Pipedrive or another platform, extracting email addresses helps verify that all contacts were successfully transferred.

Building email campaign lists. If you want to email monday CRM contacts through a dedicated email marketing platform, extracting gives you a clean list to import into Mailchimp, ActiveCampaign, MailerLite or similar.

Consolidating contacts. If your organisation uses monday CRM alongside other tools (separate email platform, support desk, project management boards), extracting from each and deduplicating reveals your total unique email-address count.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Auditing contact data. Extracting and verifying email addresses from monday CRM helps identify invalid or outdated contacts in your pipeline.

How to Export from monday CRM

monday.com allows you to export board data as Excel files.

Exporting a board

  1. Log in to monday.com.
  2. Navigate to the CRM board containing your contacts (e.g., Contacts board, Leads board or Deals board).
  3. Click the three-dot menu at the top right of the board.
  4. Select More options > Export board to Excel.
  5. monday.com generates an Excel (.xlsx) file containing the board data.
  6. Download the file.

Exporting specific views

If you have different views set up (filtered by pipeline stage, deal owner or date range), the export reflects the currently active view. Switch to the view you want before exporting.

Export fields

The exported file includes one row per item and one column per board column. For a Contacts board, this may include: email address, name, company, phone number, deal value, pipeline stage, owner, status, creation date, last activity date and custom columns. The exact columns depend on your board configuration.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the Excel file. Email Extractor supports XLSX, XLS, XLSM, XLSB and ODS formats. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into an email platform

The extracted list can be imported into any email marketing platform that accepts CSV imports. This is useful when your sales contacts in monday CRM need to receive marketing communications through a different tool.

Compare after CRM migration

If you are migrating from monday CRM to another platform, extract from both systems after migration. Comparing the two lists confirms that all contacts were transferred correctly.

Combine with other boards

If your monday.com workspace has multiple boards with contact information (Contacts, Leads, Deals, Partners), export each board and upload all files together. Deduplication reveals your total unique email-address count across all boards.

Things to Know

Excel format

monday.com exports boards as Excel (.xlsx) files, not CSV. Email Extractor supports Excel files directly, so no format conversion is needed before uploading.

Column headers are not extracted

Excel column headers from monday.com are text labels, not email addresses, so they do not appear in the extracted results.

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, deal values, pipeline stages, activity history and custom columns from the monday CRM export are not carried over.

Multiple email columns

monday CRM boards can have multiple email-type columns (e.g., "Work email" and "Personal email"). All email addresses across all columns are extracted. A contact with two email addresses contributes two entries to the extracted list.

Linked items

monday CRM uses item linking to connect contacts to deals, companies and activities. The export of a single board may not include data from linked boards. Export each board separately if you need email addresses from multiple boards.

Board permissions

monday.com has board-level permissions. You can only export boards you have access to. If contacts are spread across boards owned by different team members, coordinate with them or ask a workspace admin to export.

Subitems

monday.com supports subitems (items nested under main items). Subitems may not be included in the standard board export. If email addresses are stored in subitems, you may need to export them separately.

Formulas and mirrored columns

monday.com supports formula columns and mirror columns that pull data from linked boards. The export includes the computed values, so email addresses generated or mirrored from other boards will be included.

Spreadsheet limitations

Email Extractor reads cell values from spreadsheet files. It does not calculate formulas. monday.com exports include computed values rather than formulas, so this is not a concern for standard exports.
