How to Extract Emails from Reply.io Contacts

Why Extract from Reply.io?

Reply.io is a sales engagement platform that automates multi-channel outreach across email, LinkedIn, calls and SMS. It includes an AI-powered email assistant, sequence automation, a B2B contact database, email warm-up, deliverability tools, a meeting scheduler and CRM integrations. Sales teams, SDRs, agencies and recruiters use Reply.io to run outreach campaigns at scale.

Reply.io stores contacts (people) that are added to sequences or imported into the platform. Extracting email addresses from Reply.io contacts is useful for consolidating prospects across tools, importing into a separate CRM, deduplicating against other lead sources, verifying addresses or creating a clean master prospect list.

How to Export from Reply.io

Exporting contacts

  1. Log in to Reply.io.
  2. Go to People (the contacts section).
  3. Select the contacts you want to export, or select all.
  4. Click Export to download as a CSV file.
  5. The CSV includes email, first name, last name, company, title, phone, LinkedIn URL and custom fields.

Exporting from a sequence

  1. Go to Sequences.
  2. Open the sequence you want to export from.
  3. Export the contacts enrolled in that sequence.

Filtering before export

Reply.io lets you filter contacts by sequence, status (active, paused, finished, replied, bounced), tags, lists and custom fields. Apply filters before exporting to get a targeted subset.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file(s) exported from Reply.io. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive or another CRM. Reply.io integrates with several CRMs, but extraction is useful for CRMs without direct integration.

Deduplicate across outreach tools

If your team uses multiple outreach platforms (Reply.io for multi-channel sequences, Instantly.ai for high-volume email, Apollo.io for prospecting), upload all exports together. Deduplication prevents reaching the same prospect from multiple tools.

Verify addresses

Reply.io includes email validation features. However, addresses can become invalid over time. Running the extracted list through a verification service before launching a new campaign ensures current validity. See Best email verification services.

Consolidate sequences

If you have contacts spread across many sequences, exporting all and extracting gives you a single deduplicated list of everyone you have contacted or plan to contact.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, company names, job titles, phone numbers, LinkedIn URLs, sequence data, engagement metrics and custom fields from the Reply.io export are not carried over.

Multi-channel sequences

Reply.io sequences can include email steps, LinkedIn steps (connection requests, messages, profile views), call steps and SMS steps. The contacts in a sequence are the same regardless of which channels are used.

AI features

Reply.io offers AI-powered features including email writing assistance, response classification and suggested actions. These are in-app features that do not affect exports.

Email warm-up

Reply.io includes email warm-up for new sending accounts. This is a deliverability feature that builds sender reputation gradually.

B2B contact database

Reply.io offers a built-in B2B data source for finding prospect email addresses and contact information. Contacts found through this database can be added to sequences and exported like any other contacts.

Contact statuses

Reply.io tracks contact statuses within sequences: active, paused, finished, replied, bounced, opted out. Filter by status before exporting if you need specific groups.

CRM integrations

Reply.io integrates with Salesforce, HubSpot, Pipedrive and other CRMs for bi-directional sync. If sync is active, contacts may already be in your CRM. Extraction is still useful for consolidation across non-synced tools.

Teams

Reply.io supports team features where multiple users share sequences, contacts and templates. Admins can export contacts across team members.
