How to Extract Emails from Zoom Webinar Registrants

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Zoom Webinars?

Zoom is a video communications platform that provides meetings, webinars, phone, chat, rooms and events. Zoom Webinars (a paid add-on) allows hosts to run large-scale online events with registration, attendee tracking, Q&A, polls and reporting. Webinar registrations collect attendee email addresses along with name and any custom registration fields.

Extracting email addresses from Zoom Webinar data is useful for importing into an email marketing platform, following up with attendees and no-shows separately, building a lead list from webinar registrations, consolidating event contacts or comparing registrants across multiple webinars.

How to Export from Zoom

Exporting registrants

  1. Log in to Zoom.
  2. Go to Webinars and select the webinar.
  3. Click the Registration tab (or Manage Registrants).
  4. Click Export or Download CSV.
  5. The CSV includes email, name, registration date, approval status and any custom registration fields.

Exporting attendee reports

  1. Go to Reports then Webinar.
  2. Select the webinar.
  3. Click Generate for the attendee report.
  4. Download the CSV. It includes email, name, join time, leave time, duration and attention score.

Exporting from the dashboard

  1. Go to Admin then Dashboard (for account admins).
  2. Navigate to the webinar's details.
  3. Export attendee data.

Recurring webinars

For recurring webinars, export registrants and attendees for each occurrence separately, or export all at once from the series-level report.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file(s) exported from Zoom. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which webinar export each email came from.

Working with the Results

Follow up with attendees

Import the extracted list into Mailchimp, ActiveCampaign, HubSpot or another platform for post-webinar follow-up sequences. Send replays, resources, offers or next steps.

Separate attendees from no-shows

Export both the registrant list and the attendee report. Extract emails from each separately. Compare the lists to identify registrants who did not attend. No-shows can receive a different follow-up (replay link, reschedule offer).

Consolidate across webinars

If you run multiple webinars, upload all registrant exports together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Source membership shows an address in an export; use the event records to distinguish registration from attendance and count repeat visits.

Verify addresses

Webinar registration emails are generally valid since registrants enter their own email. However, some may use temporary or secondary addresses. Verification before long-term campaigns is recommended. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, join times, durations, poll responses, Q&A questions and custom fields from the Zoom export are not carried over.

Meetings vs webinars

Standard Zoom Meetings do not have a registration feature by default (though it can be enabled). Webinars always have registration. This guide covers the Webinar product. If you enabled registration for a regular meeting, the export process is similar.

Registration approval

Webinars can require manual approval or auto-approve registrants. Both types appear in the registrant export.

Panelists and co-hosts

Panelists and co-hosts have separate invite flows and may not appear in the registrant list. Their emails appear in the panelist section.

Zoom Events

Zoom Events is a separate product for multi-session, multi-day events. It has its own registration and reporting system, but exports work similarly.

Third-party integrations

Many organisations connect Zoom to their CRM or marketing platform (HubSpot, Salesforce, Marketo) to sync registrant data automatically. If you use such an integration, the data may already be in your marketing tool.
