How to Extract Emails from an EmailOctopus Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from EmailOctopus?

EmailOctopus is an email marketing platform known for affordable pricing and a generous free tier. It offers email campaigns, automations, landing pages and subscriber management. EmailOctopus stores subscriber records that include email addresses, names, custom fields, subscription status, tags and engagement data.

Extracting email addresses from EmailOctopus data is useful in several scenarios.

Migrating to another platform. When switching from EmailOctopus to a different email marketing service (Mailchimp, ActiveCampaign, Kit, Brevo), a clean email list provides a starting point for the new platform.

Consolidating subscribers. If you use EmailOctopus alongside other tools (a CRM, a form builder, a newsletter platform), extracting from each and deduplicating reveals your total unique email-address count.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Backing up your list. Having an independent copy of your subscriber email addresses outside of EmailOctopus protects against accidental deletion or account issues.

Comparing lists. Extracting from EmailOctopus and another platform shows which subscribers exist in both, which are unique to each, and where opportunities for list growth exist.

How to Export from EmailOctopus

EmailOctopus allows list owners to export subscriber data.

Exporting subscribers

  1. Log in to EmailOctopus.
  2. Go to Lists and select the list you want to export.
  3. Click Export (or find the export option in the list actions menu).
  4. EmailOctopus generates a CSV file containing the subscribers.
  5. Download the file.

What is included

EmailOctopus exports typically include: email address, first name, last name, subscription status (subscribed, unsubscribed, bounced, complained), custom fields, tags and the date the subscriber was added. The exact columns depend on your list configuration.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file (or files, if you exported multiple lists). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which list export each address came from.

Working with the Results

Migrate to a new platform

Import the extracted list into your new email marketing platform. Most platforms accept a CSV with an email column. Since Email Extractor outputs email addresses only, subscriber names, tags and custom fields will not carry over. Use the original EmailOctopus CSV for those additional fields.

Combine multiple lists

If you maintain separate lists in EmailOctopus for different purposes (newsletter, product updates, events), export each list and upload all files in one extraction. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership.

Compare with your website analytics

If your website tracks email sign-ups separately (through Google Analytics event tracking, for example), compare the analytics count with the extracted EmailOctopus count. Significant differences may indicate form submission issues or sync problems.

Verify the list

EmailOctopus's free tier is popular for starting out, and lists built early on may contain inactive addresses. Run the extracted list through a verification service before migrating or before a large campaign. See Best email verification services.

Things to Know

Column headers are not extracted

CSV column headers from EmailOctopus are text, not email addresses, so they do not appear in the extracted results.

Subscriber data is not preserved

Email Extractor outputs email addresses only. Names, custom fields, tags, subscription dates and engagement data from the EmailOctopus export are not carried over. If you need those fields in a new platform, import the original CSV directly.

Unsubscribed and bounced contacts

Depending on your export settings, EmailOctopus may include unsubscribed, bounced and complained contacts in the export. These addresses will appear in the extracted results. Do not re-subscribe these contacts on another platform. Check the status column in the original export.

EmailOctopus Connect vs EmailOctopus

EmailOctopus previously offered two versions: EmailOctopus (using their own infrastructure) and EmailOctopus Connect (using Amazon SES). The Connect version was discontinued, and all users now use EmailOctopus's own infrastructure. The export process is the same regardless of which version you originally used.

Free plan subscriber limits

EmailOctopus plan limits apply to the platform’s own subscriber records. An extraction count measures matched email strings and may differ from billable subscriber usage; use the account dashboard for plan-limit decisions.
